Overview
Open and Deliver is a mail processing workflow used when a single received mail item contains five (5) or more separate envelopes inside. In these situations, Earth Class Mail Operations will automatically open the outer mail piece and create individual records for each enclosed item.
The original received mail piece becomes the Parent Item, while each enclosed piece is treated as a separate Child Item.
Once the child items are created, Earth Class Mail will apply the customer’s existing automation rules to each new child item individually.
How Open and Deliver Works
When Operations identifies a mail item containing 5 or more enclosed mail pieces, the following steps occur automatically:
- The original mail item is opened by the Operations Team.
- The original item is designated as the Parent Item.
- Each enclosed document or mail piece is separated and assigned its own unique item number.
- These newly created items become Child Items linked to the parent item.
- Earth Class Mail automation rules are then applied to each child item individually.
- Child items are scanned and processed according to the customer’s configured preferences.
Parent and Child Items
Parent Item
The original outer envelope or package received by Earth Class Mail is retained as the Parent Item.
The parent item serves as:
- The original tracking reference
- The container record for the enclosed items
- A link to all associated child items
Child Items
Each enclosed piece is assigned:
- A separate item number
- Its own mail record
- Independent processing actions based on automation settings
