Tags are a simple way to organize, label, and quickly filter your mail items in the MailRoom. You can create custom tags based on your preferred criteria, such as department names, document types, projects, or actions you need to take.
Using tags helps you quickly locate and manage mail as your inbox grows.
Apply a tag to a mail item
You can apply tags directly from the MailRoom inbox.
From the Inbox, navigate to:
Select the mail item > Click More in the top-right corner > Select Tag
Then:
- Choose an existing tag, or
- Type a new tag name to create and apply a new tag
The selected tag will appear on the mail item immediately.
You can remove a tag at any time by opening the tagging menu again and deselecting the tag.
Create a new tag
There are two ways to create tags in the MailRoom.
Create a tag while tagging mail
From the Inbox, navigate to:
Select the mail item > Click More in the top-right corner > Select Tag > + Create New
Then:
Enter the new tag name > Save/Create
The new tag will automatically be applied to the selected mail item.
Create a tag from Settings
From any screen, navigate to:
Settings > Tags > Add New Tag
Then:
Enter the tag name > Click Add
Filter mail using tags
You can filter your inbox to display only mail items associated with a specific tag.
From the Inbox, navigate to:
Left-hand panel > Filter by Tag > Select the tag you want to view
The MailRoom will display only mail items associated with that tag.
System-generated tags may also appear in this section and can be used for filtering.
Rename an existing tag
You can rename custom tags directly from the MailRoom.
From the Inbox, navigate to:
Left-hand panel > Filter by Tag > Hover over the tag you want to edit > Click the three dots menu > Rename
Enter the updated tag name and save your changes.
Delete a tag
Tags can be deleted from the Tags settings page.
From any screen, navigate to:
Settings > Tags
Then:
Click Delete next to the tag you want to remove > Confirm Delete
The number displayed next to each tag indicates how many mail items are currently associated with it.
