You can ship items internationally through your Mailroom. This guide provides step-by-step instructions on shipping documents, merchandise, and returned goods using your Virtual Mail account.
Step 1: Create a New Shipment
- From your Mailroom, navigate to the top menu.
- Select the item(s) you wish to ship.
- Click "Ship" to open the New Shipment sidebar.
- Choose a delivery address from your address book or enter a new one.
Step 2: Enter Shipment Details
On the Shipment Details page, you’ll complete two sections: Contents Type and Custom Declarations.
-
Contents Type: Select one of the following:
- Merchandise
- Documents
- Returned Goods
-
Custom Declarations: Accurately complete the following:
- Item description
- Declared value
- HS Code (Harmonized System Code)
Note: If you’re shipping multiple distinct items, you must declare each one separately. Do not group multiple different items into a single description.
Incorrect or incomplete information can result in delivery delays, customs fees, or rejected shipments.
Step 3: Finalize the Shipment
- Add any Special Instructions (e.g., “Do not consolidate” or “Do not open package”).
- Select your Carrier and Shipping Date.
- Review and click "Finish".
Our agents will begin preparing your shipment, and you’ll receive tracking information (if available) once it has been shipped.
Shipping Restrictions, Value, Descriptions & HS Codes
Shipping Restrictions
Before shipping, verify that the item is allowed in the destination country. Each country has its own import regulations.
You should also review the size and weight limits for your chosen carrier (e.g., USPS Ground Advantage: 75 lbs max).
Declared Value
The declared value impacts customs duties and taxes. Use one of these methods to determine value:
- Transaction Value (Identical Goods) – price paid for identical items.
- Transaction Value (Similar Goods) – price of similar items from the same country.
- Deductive Value – resale price in the destination country.
- Fallback Method – any available data to estimate the value.
Incorrect values may cause delays, fees, or shipment holds.

Item Descriptions
A clear, specific item description is essential. Customs may reject vague descriptions.
Ask yourself:
- What is the item?
- What is it made of?
- What is it used for?
Examples of Unacceptable vs Acceptable Cargo Descriptions:
| Vague Description | Clear Description |
| Nuts | Hexagonal aluminum bicycle nut |
| Tools | Aluminum 12-piece tool kit |
| Phone | Samsung S21 Ultra 256GB (Blue) |
| Document | 2024 W2 Tax Form |
