Deposit a Check

After selecting your CheckStream solution and adding a check deposit account, you're ready to deposit checks remotely. This 'how to' will take you through each step of successfully depositing a check through Earth Class Mail.

Deposit a Check Through Earth Class Mail

1. We automatically scan the front and back of all mail received at our processing facility. We will indicate “Payment Detected” on items if we detect a check inside a piece of mail during our initial scanning process.

From Menu>Settings>Notification Preferences, you can enable email notification alerts for when we detect a check has been received so that you can request to deposit right away. Checks may not always be detected in the initial scan, but that won’t affect your ability to deposit checks discovered after the process of a full content scan.

2. Click in the white space of a specific mail item to view in the preview panel.

Click the "Actions" button in the right corner of the preview panel, and select "Deposit..."

Note:  If you have not yet selected a CheckStream plan (link to Kb), you will be prompted to select either a "Monthly" or "One-Off" plan at this time.

3. Next, click on the drop-down menu to select the bank account you want to deposit the check into. Alternatively, you have the option to add a new bank account at this time by selecting the "Add New Account" option.

Note: If you have not yet added a bank account (link to Kb), you will be prompted to add one at this time.

4. After selecting a bank account, you may choose to "Shred and Recycle the contents" of your mail. We've selected "Re-envelope and store the contents" of your mail by default to avoid unintended disposal of your important physical documents.

We provide complimentary overnight shipping for checks deposited into accounts with Bank of America, J.P. Morgan, Chase, or Wells Fargo. Customers depositing into other bank accounts will have the option to pay for overnight shipping.  

5. A confirmation message should appear after you've submitted your deposit, and your request will go into Pending status.

Note: there are also options to "View Request" and "Cancel." You can cancel a check deposit request if it is in Pending status, which is before the operation becomes "locked". Deposit requests are typically locked at noon Pacific Standard Time.

Tracking the Process

Click on the "View Details" button to view the progress of your deposit request.

After the check has been extracted and endorsed, we ship it to your bank for deposit. Once the mail has been shipped, a tracking number will appear in the details.

Deposits are typically completed in one business day. By clicking "View Details" on the piece of mail, you'll see that the processes bar has reached "Delivered."

After the depositing the check, you have the option to "Record Payment" through our integrations with Xero (Beta) and QuickBooks Online. We include hi-res PDF scans of all checks and related attachments.
